Job title: Student Services Officer

Reports to: Student Services Manager

Employment type: Permanent

Employment basis: Part-time (0.8fte) 30 hours per week, subject to review, with a view to increasing working hours to a full-time capacity of 37.5 hours per week within 6 months of employment.

Salary: £16,000 (£20,000 x 0.8fte) – £19,200 (24,000 x 0.8fte) per annum.

Working hours: initially 30 hours per week Monday to Friday

This is a multi-faceted, varied and exciting role. You will be involved in all areas under the Student Services umbrella: reception, admissions, student services and the social programme – to enhance the student experience. You will also work on social media and as support to the marketing team. You will need to work with a high degree of accuracy and attention to detail and will report to the Student Services Manager

Main Responsibilities

  • To provide a friendly and polite first point of contact for all students, staff and guests visiting the LSI Portsmouth Reception and to respond with speed and accuracy to email, phone and in-person enquiries;
  • Creating letters and documents for students;
  • Data entry and statistical inputting and analysis of feedback stats;
  • Play a key role for new student arrivals and assist in the enrolment process (collecting, recording and chasing documents and information from students);
  • Assisting the Student Services Manager in the effective running of LSI Portsmouth’s reception area;
  • Deputising for the Student Services Manager when required;
    Maintain accurate student records using the MS Office Suite and ElsieApp (database)

Admissions

  • Bookings Administration:particular focus on UKBA, Tier 4, issuance of CASs and SMS software work and PSE courses and dealing with the University and ICP/Navitas;
    Coordinating government sponsorship administration with students and aiding visa renewal;
  • Assisting the Student Services Manager in the effective running of LSI Portsmouth’s reception area;
  • Support for Omani Officers (with Student Services Manager and GE/ Exams DoS) – taking care of all aspects of Officer Liaison, particularly student support, bus passes etc…

Social Programme

  • Assisting the Student Services Manager with the effective organisation, promotion and running of LSI’s Social Programme for the LSI Portsmouth student body, for both in –school and online social programmes;
  • Leading social programme activities (evening and weekend work required)
    To proactively promote the social programme around school and maximise participation, also using social media as a tool in this respect;
  • Ensuring compliance with H&S and risk management within the Social Programme;
  • To assist students in organising their own activities and excursions; helping to book tickets; advising on travel; advising on events in the area;
  • To assist with student inductions for new arrivals, conducting school tours, ensuring all relevant information is passed on to new students and help them to settle in;

Marketing

  • To create digital content for LSI Portsmouth’s social media platforms and website;
    To assist with marketing, promotional activities and school visits when required

Qualifications

Essential:
A relevant level 3 Qualification
Desirable
GCSE English at level A-C or equivalent (e.g. CEFR C1)
Educated to degree-level

Skills and Experience

Essential:
Ability to provide excellent customer service and communicate clearly with students and staff
A positive approach to change and opportunity
Good working knowledge of LMS, Zoom, Google Docs, Microsoft Office, Excel, Word, Powerpoint or similar
Experience using social media (Facebook, Instagram, WhatsApp) for marketing purposes
Cultural awareness and sensitivity in dealing with international partners, ETOs, Embassies (particularly from the Middle East) and students
Constructive, collaborative and problem-solving attitude;
Good organisational skills and timekeeping
Native/ native- like competence in English

Desirable

Knowledge of/experience working in the EFL industry
Previous Experience of working in an international environment
Experience using business/school administration systems
Speaker of at least one foreign language (Arabic preferred)
